MEETINGS TERMS & CONDITIONS

BOOKINGS AND PAYMENT

St Michaels Resort will consider a meeting room booking as confirmed when a letter of confirmation and/or a signed contract and/or deposit/full payment has been received.

When finalising a contract, approximate numbers should be advised and confirmed in writing along with agreed prices. Any drop in numbers of more than 10% may result in cancellation charges being applied. Furthermore, under such circumstances the hotel reserves the right to re-allocate the room booked.

St Michaels Resort requests that the final number of delegates is confirmed a minimum of 48 hours prior to the event.

CANCELLATIONS

Any cancellation, postponement or significant changes in arrangements must be confirmed in writing and will be effective on the date received by the hotel.

If the anticipated numbers decrease more than 10% an additional room hire charge may be added to the account if the event room originally allocated is deemed too large for requirements. St Michaels Resort also reserves the right to change the booking to smaller room(s).

St Michaels Resort reserves the right to charge the following sums for any loss of income due to cancellation, non-arrival or substantial reduction in the numbers confirmed.
1-3 months prior to event: 20% of total anticipated charges
14-31 days prior to event: 50% of total anticipated charges
3-13 days prior to event: 70% of total anticipated charges
3 days prior to event: 100% of total anticipated charges

ALLERGEN INFORMATION
Before you order food and drink for you or your guests, please speak to one of our members of staff if there are any known food allergies or intolerances. We can tell you all the specified allergens that are present in our products. Although every effort is taken, as our kitchen handles food containing flour, eggs, milk, nuts and other allergens, there is always a risk of cross contamination so we cannot guarantee that any product is entirely free from any allergen.

St Michaels Resort bears no responsibility when undisclosed allergies cause an allergic reaction in our establishment.

ACCOMMODATION
During the quieter months, special rates may be available for guests attending large events. All accommodation is subject to availability and the agreement must be confirmed at the time of booking the event.

CLIENT RESPONSIBILITY

The client shall be responsible for the behaviour of their guests and any damage to hotel property, including theft and/or water damage. Guests should not be excessive or rowdy. Offensive or illegal behaviour will not be tolerated.

Consideration must be shown to other guests and our staff; we reserve the right to recover from the person making the booking any discretionary compensation payment or discount we may have to pay to other guests, as a result of your actions or members of your party.

LOSS OR DAMAGE
Please note that St Michaels Resort cannot be held responsible for equipment brought into the hotel and this will remain the responsibility of the client. The client is also deemed responsible for any loss or damage to hotel property which occurs during the hire period.

PERSONAL BELONGINGS AND LIABILITY

St Michaels Resort cannot be held responsible for articles of value, other than those deposited in the Hotel safe, for which a receipt will be given and must be retained by the customer.

Loss or damage to any items must be reported to the Duty Manager before departure, otherwise no claim will be accepted. We accept no liability whatsoever for any accident, loss or damage to your property, unless such loss is demonstrably due to our negligence. We cannot be held responsible for the failure of public services (e.g. water, gas, electricity etc.) or for any disturbance beyond our control. In all cases, except personal injury or death, our liability to you for the total of all claims arising out of your event with us is limited to the cost of the booking.

EQUIPMENT AND EXTRA CHARGES
The client shall be liable for all electricity used other than by the hotel’s usual fixed equipment and lighting. The hotel does not accept responsibility for the clients’ equipment. A registration table will be included in the cost on some packages. Extended use of the room(s) for set up and removal of equipment, decoration, trade stands etc. may be charged over and above the room hire charge. A service charge of 10% may be added for all external services used or booked on behalf of the guest by the hotel.

ACCESS AND VACATE

All rooms are booked on the understanding that they are vacated by the time stipulated on the contract unless otherwise agreed in writing in advance. The access and vacate times quoted for each function time must be strictly adhered to on all occasions. Functions are required to finish at the time agreed when the booking is made.

St Michaels Resort reserves the right to levy additional charges where the Client fails to vacate the room at the contracted time.

PAYMENT

Account facilities will only be granted to those companies or individuals that have established credit facilities in advance. Companies requiring credit facilities will need to apply to open an account at least 30 days in advance of the event taking place. Credit terms may be agreed in writing, and credit references will be sought.

A purchase order number will be required at time of booking if you wish to be invoiced for your event. If this is not received, the hotel reserves the right to cancel the function with no further notice.

Accounts are to be settled within 30 days. We reserve the right to include a 4% surcharge for anyone exceeding our payment terms.

Where credit facilities are not available or approved, St Michaels Resort will ask for payment in advance for all pre-booked and anticipated services at least two weeks in advance of the event taking place.

Cheques (company or personal) must be presented in good time for clearance and will not be accepted on departure under any circumstances. Any extras should be settled on the day prior to departure.

The client agrees to pay St Michaels Resort for any food, beverage or other services not provided for in this Contract but made available upon request of the Client.

VALIDITY OF PRICES
Prices and Terms and Conditions are correct at the time of publication but may change without notice with the exception of confirmed bookings. Confirmed bookings will not alter other than to reflect any changes in tax.
